Victorian public prosecutions office adapts matter management system

The Victorian Office of Public Prosecutions (OPP) has adapted a matter management system intended to speed up the management of criminal cases.

The Amicus system is linked to the Appian AI Process Platform and accelerates prosecutions through Appian’s data fabric and process automation technology suite. The expected productivity boost exceeds 10% per year, according to the OPP.

“Over the last few years, including through the pandemic, cases have grown increasingly complex, especially considering the amount of multimedia evidence produced and the legislative environment in which we operate. It's become a real struggle to keep up. We need a system that ensures seamless data flow”, executive director Sam Jones said.

He explained that the new platform facilitated the efficient update of the OPP’s systems in the face of shifts in legislation, policy or business processes.

"Our initial step was to conduct a current-state discovery phase, which revealed that a substantial portion of our workforce's time—20 to 30%—was being drained by manual administrative tasks. By leveraging robotic process automation, we have achieved substantial savings in administrative tasks, enabling staff to concentrate on higher value work", Jones said.

Appian Area Vice President Asia Pacific and Japan Luke Thomas added that the OPP had plans to utilise Appian in building a victims’ portal, facilitate open communication and enabling individuals to monitor cases.
